What Is A Tenant?

A tenant is a branded Boxie Sign workspace for one subscriber or client.

White label applies only to the signing product surface:

  • /signing
  • signing requests
  • signer pages
  • the subscriber team’s signing documents, templates, and workspace area

It does not turn the full Boxie file-sharing app into a branded tenant site.

Roles

There are two admin layers:

  • Platform admin
    • creates the tenant
    • configures branding and the owner sign account
  • Tenant owner / workspace team
    • uses the branded signing workspace
    • adds their team
    • manages documents, templates, and signing activity

Sign-side workspace roles:

  • owner
    • full control of the tenant workspace
  • supervisor
    • manage shared assets and workspace activity
  • manager
    • manage members and workspace-level operations
  • sender
    • create and send requests
  • reviewer
    • review flows as assigned
  • viewer
    • read-only access
  • template_admin
    • manage reusable documents/templates
  1. Platform admin creates the tenant in /admin/sign-tenants.
  2. Set:
    • domain
    • company name
    • accent color
    • optional logo URL
    • optional support email
    • owner sign account email
  3. The tenant owner signs up or logs in on the sign side.
  4. The owner opens /signing/workspace.
  5. The owner adds managers and team members from /signing/workspace/access.
  6. The team creates private signing documents and reusable templates.
  7. Documents/templates can then be shared to the workspace when needed.

Shared vs Private Assets

Signing documents and templates can be:

  • private
    • visible only to the owner
  • workspace shared
    • visible to the tenant team inside that workspace

Recommended default:

  • keep reusable source documents private until they are ready
  • share only the versions the team should actually use

Localhost White-Label Preview

For local development, you can preview tenant branding without DNS:

  • create a tenant such as example.com
  • open /signing?preview_tenant=example.com
  • clear preview with /signing?preview_tenant=off

This preview is for localhost testing only.

Branding Assets

Current recommended brand assets:

  • logo: transparent SVG or PNG
  • recommended size: 320×96
  • minimum size: 160×48
  • keep under 500 KB
  • accent color: single hex color such as #1d4ed8
  • tagline: short, ideally 45 characters or fewer

If a subscriber does not have a full brand kit yet, use one of the built-in presets and replace assets later.

What Subscribers Should Expect

Subscribers should land on a branded signing experience, not a branded version of the free Boxie product.

The intended experience is:

  • team logs into the sign side
  • uploads or reuses signing documents
  • creates requests
  • shares templates within their workspace
  • supervises request activity from the workspace dashboard

Secure Data Rooms

For highly sensitive operations, the workspace includes Secure Data Rooms.

A Data Room allows your team to securely request supporting documents (like ID scans, financial forms, or tax records) using End-to-End Encryption (E2EE).

  • Boxie generates encryption keys entirely within the client’s web browser.
  • Boxie’s servers never receive or store the decryption keys.
  • You can securely remind clients to upload documents; the reminder system uses local mailto: links to perfectly preserve the encryption keys without exposing them to the server.

Smart Web Forms

When you place Text, Date, or Checkbox fields onto a PDF template, Boxie Sign can automatically generate a Smart Web Form for the signer.

  • Signers can fill out a mobile-friendly HTML questionnaire instead of navigating a complex PDF.
  • The system automatically maps their answers and stamps them directly onto the final PDF before they draw their signature.

Future Onboarding Improvements

Planned improvements:

  • richer workspace onboarding checklist
  • videos for tenant owner setup and team onboarding
